Overview

At Beso Provider Hub, we are committed to delivering high-quality clinical training and services. This Refund Policy explains the terms under which refunds, credits, and cancellations are handled across our various service offerings.

Because our training courses involve substantial instructor preparation, venue coordination, supply ordering, and limited seat capacity, our refund terms reflect the real costs of holding a seat. We appreciate your understanding and encourage you to reach out before canceling — we are often able to find a solution that works for both parties.

When in doubt, contact us first. Many situations — scheduling conflicts, credential delays, practice changes — can be resolved with a transfer, credit, or flexible reschedule. We would rather find a solution than issue a refund. Email us at [email protected].

Training Courses

Our training courses are hands-on, in-person events held in Phoenix, AZ with limited enrollment. The following terms apply to all course registrations:

If You Cancel

Cancellation terms are based on the number of calendar days before the scheduled course date:

  • More than 30 days before the course: Full refund minus a $150 administrative processing fee, or a full credit (no fee) applied to any future Beso course of equal or greater value.
  • 15–30 days before the course: 50% refund of the course fee, or a full credit (no fee) applied to a future course. Credits are valid for 12 months from the original course date.
  • 8–14 days before the course: No refund. A one-time seat transfer credit may be issued at our discretion for use within 6 months, subject to seat availability.
  • 7 days or fewer before the course: No refund and no credit. The seat fee is forfeited. In exceptional circumstances (documented medical emergency, death in the family), we will review requests case by case.

Transfers vs. Refunds: In most cases, transferring your enrollment to a future date or a different course is the fastest and most cost-effective option. Transfers requested more than 14 days in advance are generally accommodated at no additional cost, subject to seat availability.

If We Cancel or Reschedule

Beso reserves the right to cancel, reschedule, or modify courses due to instructor unavailability, insufficient enrollment, venue issues, or other circumstances beyond our control. In these cases:

  • If we cancel a course: You will receive a full refund of your course fee within 10 business days, or a full credit with no processing fee applied to any future course of your choice. No additional compensation (travel, accommodation, lost wages) is provided.
  • If we reschedule a course: You will be offered the option to attend on the new date at no additional cost, transfer to a different upcoming course, or receive a full refund. You must select your preference within 7 days of notification.

We strongly recommend that you do not book non-refundable travel arrangements until you have received a confirmed course confirmation email. Beso is not responsible for travel costs, hotel bookings, or other expenses incurred in connection with a cancelled or rescheduled course.

No-Shows

Providers who do not attend a course without prior cancellation or transfer are considered no-shows. No-shows forfeit their course fee and are not eligible for a refund or credit. If extenuating circumstances prevented attendance, please contact us within 48 hours of the course date to discuss options. We review these situations on a case-by-case basis.

Digital Resources & Starter Kits

Due to the digital and immediately deliverable nature of our practice resources, protocols, consent forms, patient education materials, and starter kit bundles, all digital resource purchases are final and non-refundable once access or delivery has been provided.

If you believe there was an error in your order, a technical delivery issue, or a mismatch between what was described and what was delivered, please contact us within 7 days of purchase. We will review the situation and, if appropriate, issue a credit or replacement at our discretion.

Medical Director Services

Medical director engagements are governed by a separate, written service agreement. Refund, cancellation, and early termination terms are detailed in that agreement and vary based on the engagement model and billing structure.

In general:

  • Setup and onboarding fees (protocol development, initial standing orders) are non-refundable once work has commenced
  • Monthly retainer fees are non-refundable for the current billing period but may be cancelled prospectively with the notice period specified in your agreement (typically 30 days)
  • Per-diem or hourly services are billed in arrears and are non-refundable once services have been rendered

Please refer to your signed engagement agreement for the specific terms applicable to your arrangement.

Consulting Services

Practice consulting sessions are confirmed upon payment. The following terms apply:

  • Cancellation more than 48 hours before a scheduled session: Full credit applied to a future session. No cash refund is issued for consulting sessions.
  • Cancellation within 48 hours of a scheduled session: The session fee is forfeited. We will make reasonable efforts to reschedule at our discretion.
  • Consulting packages: Multi-session packages are non-refundable but may be transferred to a colleague with our prior written approval.

Certification Program

Certification application fees are non-refundable once the application review process has begun. If your application is denied due to ineligibility (e.g., insufficient Beso training history), we will issue a credit toward a qualifying Beso training course equal to the application fee paid.

Annual renewal fees are non-refundable. Certifications that lapse due to non-renewal may be reinstated within 6 months of the expiration date by completing the renewal process and paying the applicable fee.

Community Membership

Community membership access is included with course completion or certification and does not carry a standalone fee at this time. If a standalone community membership fee is introduced in the future, refund terms will be provided at the time of purchase.

How to Request a Refund or Transfer

To request a refund, course transfer, or credit, please contact us by email at [email protected] with the following information:

  • Your full name and the email address used at registration
  • The course name and scheduled date, or service description
  • The reason for your cancellation or refund request
  • Your preference: refund, credit, or transfer (where applicable)

We process refund requests within 10 business days of approval. Approved refunds are returned to the original payment method. Processing times may vary by payment provider but are typically 5–10 additional business days after we initiate the refund.

We want to work with you. If you’re facing a scheduling conflict, a practice change, or an unexpected circumstance, please reach out before the cancellation deadline. In most situations, we can find a flexible path forward that doesn’t require a refund.
